General instructions on the scientific part of the report

  • We should structure the annual report in the same way as the six month report. That is, we will divide it by work package and in each we will have an overview of goals and progress from the WP-leader and then a subsection for each deliverable and milestone, written by the beneficiary responsible for that milestone or deliverable.
  • Second, they want frank, clear information that goes straight to the point and does not go around in circles. So keep everything short and concise. The readers will be technical people, but not necessarily experts in space physics.
  • It is crucial that problems such as those described in the e-mail exchanges we had are covered and a resolution is indicated. Also success stories and areas where the plans and expectations are exceeded should be there.
  • Do not assume we at KU Leuven will revise what you write. Assume what you write will go straight to the PO. We will read it, but it will be a long document and we cannot take the responsibility to check for mistakes or improprieties.

Writing assignments

  • A template is provided for each part.

WP-leaders

WP Leaders will write two sections:

  1. A page or two with the goals of the WP (it will go into section 2 of the report). Do not repeat the Annex I, try to make it a compelling and impressive narrative of the research to be done.
  2. A maximum 4 pages with the status and progress of the WP (it will go into section 3 of the report). Please try to make it a compelling and impressive narrative of the research done, highlighting the major achievements. If serious problems have been encountered or are foreseen, please, add a description, and a plan for its resolution. Explain how the change will allow to achieve substantially equivalent (or better) goals as planned. Avoid describing the progress as Beneficiary X did this, beneficiary y did that. Describe it as a collective effort towards a commonly shared goal. Mentioning when appropriate who did it in collaboration with whom. If major achievements have been reached (Nature-grade publishable result) highlight them as appropriate.

Lead beneficiary and all involved in each deliverable/milestone

  • All beneficiaries contribute to the sections on the deliverable and milestone summaries.
  • Those are brief (max 1 page) summary of the work done in each deliverable and milestone. It should be written by all groups involved in the work related to the milestone and deliverable. According to the EC rule and Annex 1 there is one lead beneficiary responsile for each milestone and deliverable. But all interested should contribute. This can be done directly by entering text on teh wiki, or can be done by a single person collecting all the information, as desired. Just exactly as we did in the 6-month report.
  • For the Milestones/Deliverable summaries you can cut and paste the old 6-month report but you need to update it to add what has happened since.
  • Avoid describing the progress as Beneficiary X did this, beneficiary y did that. Describe it as a collective effort towards a commonly shared goal. Mentioning when appropriate who did it in collaboration with whom. If major achievements have been reached (Nature-grade publishable result) highlight them as appropriate.
